Hire Desk Controller

Job Purpose

The Hire Desk Controller is responsible for managing customer hire enquiries, coordinating MEWP rentals, and ensuring excellent customer service throughout the rental process. This role supports operational efficiency by scheduling equipment deliveries, collections and maintaining accurate hire documentation in accordance with company procedures.

Key Responsibilities but not limited to:

  • Respond to customer enquiries and provide hire quotations promptly and professionally.
  • Process customer orders, extensions, off-hires, and collections through the rental system.
  • Coordinate daily deliveries and collections with the transport and logistics teams.
  • Track fleet availability and collaborate with the workshop team to ensure equipment is service-ready.
  • Maintain up-to-date records of hires, including contracts, purchase orders, delivery notes, machines service records, registrations and inspections.
  • Communicate effectively with clients regarding equipment availability, delivery timelines, site passes for machines and service Engineers.
  • Work closely with the sales team to support customer needs and maximise hire opportunities.
  • Ensure compliance with internal policies and local Qatari regulations related to equipment rental and safety.
  • Assist with resolving client issues or complaints swiftly and professionally.
  • Monitor hire durations and coordinate with the finance team to support with invoicing and collections.
  • Contribute to achieving depot KPIs including utilisation, revenue targets, and customer satisfaction.

Key Skills & Requirements:

  • Experience in a similar hire desk, logistics, or customer service role (MEWP or plant hire preferred).
  • Strong interpersonal and communication skills.
  • Experience using rental management systems.
  • Good knowledge of the equipment rental market in Qatar or the GCC region.
  • Strong administrative and organisational abilities
  • Able to work under pressure in a fast-paced, service-driven environment.
  • Fluent in English; Arabic is an advantage.
  • Knowledge of MEWPs is an advantage.

Qualifications:

  • Diploma or degree in Business Administration, Logistics, or a related field preferred.
  • Valid Qatar Residency Permit or transferable visa.
